Executive Administrative Assistant / Office Manager

This role will support leaders within Syngenta’s North America Business Sustainability and Communications group as well as the growing Soil Science group. The Executive Assistant will facilitate multi-party meetings, arrange complex travel, manage finances for the office, create and manage POs (Purchase Orders) and prepare expense reports.

Accountabilities

• Provide administrative support to the functional leaders, including calendar management and customer meetings.  Proactively provide additional resources needed to prepare for executive level meetings
• Effectively manage invoices and Purchase Orders, including tracking completion with attention to detail and accuracy. Conduct monthly financial reporting analysis and PO management summaries for all functions
• Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company and/or employee-related employment information
• Draft and prepare correspondence for internal announcements that are sometimes confidential and time sensitive in nature
• Maintain Business Planning and Soil Health calendars by setting cadence of high priority meetings and events with an eye on future planning
• Independently manage end-to-end logistics for onsite/offsite meetings, which may include securing and preparing meeting spaces, catering, and AV needs, as well as booking air travel, transportation arrangements and evening activities
• Organize meetings, conferences, and video calls
• Prepare Word, Excel, PowerPoint presentations, agendas, and reports. Coordinate special projects which may be highly confidential on behalf of the management team

• A minimum of a 4-year degree, preferably in Agriculture, Business, Marketing, Event Management or related field
• A minimum of 5 years of related experience working in an Executive Assistant or Office Support function
• Must be eligible to work in the United States without sponsorship support from Syngenta

Preferred Qualifications

• Strong proficiency in MS Office Suite, particularly Microsoft Outlook & PowerPoint presentation creation
• Ability to efficiently schedule complex meetings that require multiple high-level participants with conflicting priorities across time zones
• Strong written, oral, and interpersonal communication skills and ability to speak and write in a clear and concise manner
• Complex calendaring skills and extensive travel knowledge with a pulse on the ever-changing travel environment
• Stakeholder management experience
• Ability to prioritize effectively and handle multiple time-critical tasks simultaneously
• Ability to make independent decisions
