Exec Asst & Internal Comm Specialist

Role Purpose

• To provide personal assistance administrative and secretarial services to the Region Veg  Head in all areas of his job.
• To assist in administrative and secretarial services to the Veg Territory Management Team when necessary

Accountabilities

EXECUTIVE ASSISTANT

• Establish and implement clear administrative processes for the smooth running of the Veg Region Head Office – phones, mail, filing, holidays etc
• Assist the Veg Seed Region Head in preparation of all reports, presentations etc before meetings
• Play a leading role in the organization of major company events
• Assist and/or coordinate the regional organisations taking place in the country.
• Manage all VEG Region Head  travel bookings ensuring optimal solution are sought at all times
• Coordinate travel & lodging arrangements for Syngenta employees visiting from abroad
• To manage and coordinate company’s annual calendars and meeting schedules.
• Liaise with HR on appointment announcements
• Responsible for maintaining strategic documents (e.g. Budget, Commercial Calendar etc.) electronically in a shared area and ensuring proper access levels.     
• Assist Veg Region Head as Secretary of CEE Regional Veg Leadership Team.

INTERNAL COMMUNICATION SPECIALIST

• Support business leaders in dealing with internal stakeholders to build communications as a core Syngenta leadership capability
• Assist Veg  Region Head to establish Territory Communication strategy and key processes
• Implement global corporate initiatives locally. (e.g. Syngenta Awards)
• Timely coordination of employee communication through a range of channels to ensure ease of access, clarity and consistency.
• Develop regular feedback channels to promote cross communication within the company and to ensure that messages are being delivered in a consistent and timely manner.

Knowledge and Experience Requirements

Critical Knowledge

• Fully qualified in English language
• Excellent IT knowledge based around Microsoft Office, especially PowerPoint
• Project management

Critical Skills

• Team working, thoroughness, initiative, ability to learn

Critical Experiences

• Personal assistant or senior secretary experience preferably within a large multinational organization
• Language related roles – teaching and/or translation
