Responsibilities

  • The role of the Warehouse Lead is to oversee the efficient operation of all CP Supply warehouses by working closely with the third-party warehouse provider in charge of managing all warehouse activities.  The Warehouse Lead ensures that all transactions are recorded correctly and timely in the system, monitors and reports status of receiving and dispatching activities.  He/She works with both the key stakeholders in managing warehouse utilization, ensure the optimal use of trucking resources and look for cost-saving opportunities to improve cost to serve.
  • He/She ensures the proper execution of third-party warehousing functions in the areas of import receiving, export preparations, incoming & outgoing inspections, proper storage, inventory management, transport planning and dispatching.  He/She also works with the transportation provider to ensure delivery of orders in compliance to all local & internal company regulations. 

Accountabilities

  • Manage the overall performance of the contracted warehouse management and trucking service providers,  Ensure that contracted services are carried out efficiently and in accordance with distribution safety guidelines.
  • Develop appropriate and relevant Key Performance Indicators (KPI) including setting of realistic targets to monitor and assess performance of third-party contractors including incentive and penalty schemes, as required
  • Analyze Monthly commercial targets and develop a feasible delivery plan to support the overall Commercial target.  Identify both Warehouse and Transporation constraints and look for options to resolve.  Communicate any issues with key stakeholders upfront to ensure clear expectations.
  • Drive improvement activities around transportation safety and raise HSE standards in Warehousing & Transportation by working closely with the Country HSE Manager
  • Drives standardization and harmonization of processes across warehouses in order to achieve efficient and effective delivery of requirements
  • Ensures that contracts of all warehouse and transportation service providers are reviewed and renewed on schedule.  Review and approve billings timely, ensure that service providers are paid within agreed terms and any billing issues are resolved quickly
  • Understand all required permits to operate and ensure all required permits are complied with by third-party providers to ensure no disruption in deliverables
  • Validate that all warehouse transactions are compliant and are transacted in the system.  Checks that all manual transactions are avoided or are immediately encoded if unavoidable
  • Monitor warehouse utilization on a monthly basis and understand long-term warehouse requirements and create a proposal to support them
  • Partner with Customer Service to understand delivery requirements to be able to schedule and anticipate deliveries accordingly
  • Work with Warehouse to optimize trucking capacity for deliveries to reduce cost for transport
  • Work with Planning Team to support timely warehouse-to-warehouse transfers
  • Ensure the right product and right quantities delivered at the right time to customers
  • Prepare and review required distribution safety report
  • Ensure that items for disposal are properly segregated in the warehouse and that all critical HSE concerns for storage are addressed
  • Ensure that all warehouses follow the same business process & protocols (to the extent possible)
  • Provide annual assessment of third-party warehouse management provider (if applicable)
  • Review non-conformance reports and investigate root cause to develop appropriate corrective actions
  • Ensures that required cycle counts are executed on time and that variances are reported out promptly.

Qualifications

Knowledge, experience & capabilities

 

Critical knowledge

 

  • Degree in Industrial engineering or related field
  • Operational understanding of warehouse management and distribution in the Philippine setting
  • Experience in using SAP specific to inventory or warehousing wodule
  • Proficient in Microsoft applications (Word, Excel and Powerpoint)
  • Basic understanding of optimization tools and financial management

 

Critical experience

  • Minimum of three years in a supervisor role with keen interest in developing people and experience in a warehousing & distribution environment
  • Proven track record in successfully working in cross-functional teams
  • Proven experience in managing people, developing and implementing business processes and best-known methods

 

Critical technical, professional and personal capabilities

  • Good interpersonal skills; ability to work in cross-functional teams; strong organization skills
  • Strong commitment to delivering quality and uncompromising integrity in HSE standards
  • Demonstrate innovation and out-of-the-box thinking
  • Commitment to continuous improvement and improving efficiency while constantly looking for cost-saving opportunities
  • Able to formulate strategic initiatives to support long-term supply objectives
