Come join our HR Operations Team Switzerland as HR Admin Operations Specialist & Assistant for Social Partnership

In this position, you will play a crucial role by providing HR Administrative Services to ensure consistent and reliable delivery of effective and efficiently managed services as well as providing administrative support for the Swiss Social Partnership.

What you will be responsible for:

  • Support the administrative employee life cycle and offer accurate and responsive customer-oriented service to employees.
  • Manage employee requests and inquiries through the ticketing tool, collaborating closely with the HR team and our external global service delivery provider.
  • Handle work permit applications and extensions across all sites in Switzerland.
  • Create reference letters using our tool, finalizing them in German, English, and French.
  • Develop and maintain templates, forms, policies, and SharePoint sites.
  • Manage document-related tasks, including verification, printing, signing, scanning, routing and tracking.
  • First point of contact for all organizational aspects of the Social Partnership Switzerland.
  • Organize and support quarterly meetings with Social Partners in Switzerland (e.g. employee representatives) incl. document preparation and minute taking.
  • Support reviews of documents, employee regulations and other relevant HR documentation.
  • Prepare and store documentation for all meetings with Social Partners.

Qualifications

What we are looking for in you:

  • Completed commercial apprenticeship with a Swiss federal HR diploma or equivalent with 2 to 4 years of HR experience or broad HR knowledge in an outsourcing environment.
  • Solid knowledge of Swiss labor law.
  • Proficiency in HRA practices and processes.
  • Excellent written and oral communication skills in English and German, French is a plus.
  • Familiarity with Microsoft Office, HR & IT tools (Workday, Service Now).
  • Demonstrates a culture of service, discipline, teamwork, continuous improvement, and high performance.
  • Proactive with the ability to work independently and excellent customer relationship management skills.
  • Upholds personal integrity and professionalism in handling sensitive information.
  • Capable of handling complex situations, analyzing problems, and finding efficient resolutions.
  • Small travel requirement for quarterly meetings within Switzerland
