Role Purpose
Provides executive support in a one-on-one working relationship. The Regional Support Specialist serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Americas Vegetables Head. The Regional Support Specialist also serves as a liaison to senior Management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. 

Supports general business and office operations by providing various administrative support activities.

Executive Support
Completes a broad variety of administrative tasks for the Americas Vegetables Head: managing a calendar of appointments; completing expense reports; Composing and preparing correspondence that is sometimes confidential; arranging upon request complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Support the Americas Vegetables Head during the annual budget process including preparation of documents and presentations, input/output data for the Americas Vegetables Head, consolidation of files and create reports. Highlight gaps and provide high level analysis on a monthly/quarterly basis.

Provides a bridge for smooth communication between Americas Vegetables Head office and internal Departments; demonstrating leadership to maintain credibility, trust and support with senior Management staff.

Consolidate and prepare the communication and reports for the Americas Vegetables Head

Accountabilities

  • Performs variety of activities in support of office operations and functional areas such as finance, purchasing, or human resources or for a specific project/business/technical unit.
  • Gathers, collects, records, tracks and verifies data and information from multiple sources
  • Uses software for functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations
  • Provides data and information to others on functional unit processes and procedures
  • Support projects and processes
  • Conduct administrative tasks (invoice and expense claim processing, travel booking, purchase and control office supply)
  • Support meetings and projects (meeting minutes, PowerPoint presentations, etc.)
  • Troubleshoots and seeks issue resolution for Americas Vegetable Seeds BU in the areas of information services, finance services, facilities, etc.
  • Assists with the meeting coordination for large events (hotel bookings, catering, travel arrangements, preparation of event materials, etc)
  • Works with Territory Heads in North America and Regional Portfolio Managers on specific administrative support nonrelated to expense reports
  • Coordinates National Field days, regional, territory sales and general meetings with communications.
  • Coordinates calendar of Americas Vegetables leadership team
  • Maintains Leadership Team share point
  • Creates sales and other relevant reports (financial, sales, etc.)

Qualifications

  • Associate’s degree and/or bachelor’s degree
  • Bilingual, English and Spanish is Required and Portuguese would be a plus.
  • Proficient in Microsoft Suite
  • Able to analyze and interpret data in a meaningful way
  • Ability to effectively prioritize and handle multiple tasks on a regular basis
  • Strong written and verbal communication skills
  • Strong attention to detail and critical thinking skills.
  • Networking & ability to facilitate “teamwork” approach
  • Requires developed specialized skills, or a breadth of skills, through job-related training and considerable on-the-job experience
  • Demonstrated ability to work within defined processes and structure
  • Ability to work independently on projects and anticipate the needs of the Executive and recommend solutions, from conception to completion.
  • Ability to handle confidential matters with discretion

Preferred Requirements

  • SAP management a plus
  • Demonstrated ability to develop trust & cross functional relationships
