As a Legal Operations Billing Specialist, you will handle day-to-day operational tasks to ensure a smooth and customer oriented end-to-end process for Legal Department invoices across multiple Legal Entities and Cost Centers and also ensure compliance with the Global Legal Billing Guidelines.

We all have a critical role to play and add value. Here is how this role will help:

  • PO and Invoice Management for the Legal Department
    • Ariba Purchase Requisitions for the Legal Department
    • Manage invoice review & approval via Vendor Invoice Management / Ariba / SAP
    • Prepare, review and submit urgent payments and exceptional non-PO payment requests
    • Initiate vendor creation in SAP and Ariba for new vendors
    • Initiate vendor master data changes as per vendor and/or internal stakeholder instructions
    • First point of contact for any PO or invoice related questions from internal and external stakeholders
    • Identify process improvement opportunities
  • Internal User Support for the end-to-end Legal Billing Process
    • Act as global super user and escalation point for regional super users
    • Provide support to the Legal Community for the End-to-End Legal Billing Process
    • Support with creation and distribution of ad-hoc spend reports
    • Support communications and training initiatives related to Billing for the Legal Community
  • Legal Operations Support
    • Maintenance of Master Data of the Legal E-Billing System
    • Manage and maintain budgets in the Legal e-billing system
    • Collect and consolidate budget estimates from vendors
    • Support with the monthly and year-end accruals process
    • Creation and maintenance of user accounts for various Legal Systems
    • Ad-hoc requests with further operational tasks
    • Support with process and digital improvement projects and implementations.

Qualifications

You will be a great fit if you have:

  • Degree/diploma in commerce, accounting, finance or equivalent
  • Fluency in English, skills in an additional language (German, French) is a plus
  • 2-3 years experience in an operational role, preferably in a related field: Accounts Payable, Accounts Receivables, Accounting
  • Excellent IT literacy, especially Microsoft Office Suite including Excel
  • Knowledge of SAP/Ariba is a plus
  • Excellent time management skills with high proactive behavior to take initiatives
  • Ability to work independently, to take informed decisions and determine priorities in a fast-paced and fast-changing environment
  • Attention to detail and strong customer orientation, excellent communication skills with stakeholders on all seniority levels
  • Strong analytical thinking and problem solving skills.
