Come join our HR Admin Operations Team Switzerland as HRA Administrative Specialist

As an HR Administrative Specialist, you will play a crucial role by providing HR Administrative Services to ensure consistent and reliable delivery of effective and efficiently managed services.

What you will be responsible for:

  • Support the end-to-end employee lifecycle
  • Offer accurate and responsive customer-oriented support to employees
  • Execute administrative tasks in alignment with Swiss-developed HRA policies and practices, ensuring compliance and attention to detail.
  • Manage employee requests and inquiries through the ticketing tool, collaborating closely with the HR team and our external global service delivery provider.
  • Handle work permit applications and extensions across specified locations.
  • Develop and maintain templates, forms, policies, and SharePoint sites.
  • Create reference letters using our tool, finalizing them in German, English, and French.
  • Prepare various documents (e.g., written warnings, termination letters) in German, English, and French, working closely with HR Business Partners.
  • Manage document-related tasks, including printing, verification, signing, scanning, routing, tracking, and storage.
  • Take ownership of HRA processes not covered by the external service provider.

Qualifications

 

  • Completed commercial apprenticeship with a Swiss federal HR diploma or equivalent.
  • 2 to 4 years of HR experience or broad HR knowledge in an outsourcing environment.
  • Solid knowledge of Swiss labor law.
  • Proficiency in HRA practices and processes.
  • Familiarity with Microsoft Office, HR tools (Workday, Aconso, SNOW), and IT tools.
  • Demonstrates a culture of service, discipline, teamwork, continuous improvement, and high performance.
  • Proactive with the ability to work independently and excellent customer relationship management skills.
  • Excellent written and oral communication skills in English and German (French fluency is a plus).
  • Upholds personal integrity and professionalism in handling sensitive information.
  • Effective communication across all organizational levels and takes personal accountability for outcomes.
  • Capable of handling complex situations, analysing problems, and finding efficient resolutions.
