Role purpose:

  • Provide high level support to the Regional Director EAME CP and the Regional Heads CP Finance and CP Human Resources in EAME including effective coordination and support to their agendas, serving as liaison with direct reports, other executives of the company and their executive assistants and external key stakeholders.
  • Ensure high quality administrative and secretarial responsibilities, flexibly adapting and responding to ever-changing environment.

Accountabilities:

  • Manage Regional Director EAME CP and Regional Heads FIN & HR Agendas, with high quality administrative support.
  • Support the logistics and organization of regional-international meetings Face to Face as well as video (Zoom, Teams, etc.) based, with the support of technology and digital tools (Smartsheet, Teams) in the coordination of the EAME CP agenda including venue selection, booking meetings, travel and hotel bookings, preparing meetings and events,
  • Provide Back-office support, manage documentation and analysis, prepare PowerPoint presentations and maintain team spaces (Teams)
  • Planning, coordinating and handling requests, queries to Regional Director CP and Regional FIN / HR heads ensuring that these are dealt with necessary confidentiality, effectively and with fast turnaround, where required, monitoring responses.
  • Liaising with relevant internal functions/stakeholders to ensure timely responses, forwarding to others where applicable, and following up on responses.
  • Effective planning and organization of Regional CP Head / FIN &HR Heads diaries / schedules and expenses reports
  • Highly sensitive management of confidential information (internal/external)
  • Coordinating with the other assistants and the support functions
  • Provides project support as needed

Qualifications

  • Bachelor’s Degree in business administration, Economics, or related fields or vocational educations, master’s degree desirable
  • At least 5+ years’ experience preferably within a large multinational organization providing executive assistance support at a senior level, with the ability to juggle a variety of tasks and to organize events
  • Digital Savvy able to work with multi digital and traditional tools such as Microsoft Office, Outlook, Smartsheet, TeamSpace’s management/maintenance.
  • Excellent English language skills required, both written and spoken. German and French fluency is a plus
  • Experience in project management and workflows
  • People skills – collaborative, relationship, communication at ease with executives as well as with other assistants and colleagues
  • Experience managing travel, purchases and expenses through tools and systems (Concur, SAP, Purchase)
  • Experience in managing events
  • A proactive approach, resilience, adaptability and the ability to work under pressure. Team working, thoroughness, initiative, ability to learn
  • Experience and ability to deal with senior level Management and both internal and external customers
  • Ability to respond quickly and enjoys a fast paced, demanding environment, ability to manage multiple requests
  • Attention to details, strong quality service and customer orientation
  • Conscientious, reliable and motivated

Additional Information

  • Some travel required to support offsite meetings (1 to 2 times per year).
