Job description

To support the achievement of high quality and consistent HR operations ensuring productivity and efficiency at all levels within the HR Function, while leveraging data analytics to drive evidence-based decision-making and optimize HR processes.

Accountabilities

  1. Audits and Compliance
  • In charge of HR audits i.e. ASLN, Kenya Flower Council and any other
  • Facilitation of external trainings in conjunction with HSE department
  • Facilitation & participation in internal trainings for Code of Conduct, Non Discrimination & the Whistle blower program
  • Training evaluations
  1. Employee relations
  • Coordination of Gender committee meetings & trainings
  • Union committee coordination
  • Grievance and Disciplinary Management with the assistance of HR Generalist
  • Operational support to Employees & Line Managers in day to day enquiries & follow ups
  • Participate in disciplinary hearings in conjunction with HR Generalist and Line Manager
  1. Payroll & Other Benefits Administration
  • Payroll Administration including implementation of CBA salary reviews for both Seasonal & Permanent Employees
  • Payroll reporting and month to month variance analysis
  • FTE monitoring and control against set budget and monthly reporting to the Finance BP
  • Employee data management and updating
  • Statutory deductions implementation and remittance
  • School Fees Benefit administration for Team Organizers and Supervisory Level of employees
  • Time and attendance recording and reporting through the Muster Rolls and Biometrics system. Ensure that the data is accurate and delivered in a timely manner for payroll processing
  • Recording of overtime and other allowances for payroll processing
  1. Administrative Role
  • Time and attendance Management-Absenteeism follow up and issuance of corrective action
  • Office administration including responding to enquiries external stakeholders, visitors among others
  • Company clinic correspondences, work Injuries monitoring in conjunction with the HSE department
  • Filing of employee documents in their personal files
  1. Recruitment and Selection
  • In charge of recruitment and selection for seasonal employees
  • Induction of New employees
  • Coordination of interviews for supervisory category of employees with the guidance of HR Generalist
  • Participation in interviews and shortlisting for unionisable and lower management level of employees with the assistance of HR Generalist
  1. Employee Exit Management
  • Management of separation process for Leavers with the guidance of HR Generalist including exit interviews
  • Final dues computations for leavers
  • Issuance of Certificate of service plus recommendation letter upon request
  • Issuance of notice to retirees to be, with the guidance of HR Generalist & Line Manager

Qualifications

Knowledge, Experience & capabilities

Critical Knowledge and Experience:

  • University Degree in Business Administration / Social Sciences/ Human Resources
  • Higher Diploma in HR
  • At least 2 years of experience in HR
  • A good understanding and interpretation of the Kenya labour laws
